Create Graph

In this lesson, you are going to learn on how to create the graph from the data that had been input in the microsoft excel.

1. Select cells A2 to G6
2. Click the [Chart Wizard] Button

3. Choose color "line" for the chart type
4. Choose the sub type as shown in the image
5. Click the [Next] Button

"Chart Source data" window will be appeared
6. Click the [Next] Button

"Chart Options" window will be appeared
7. Write the "chart title", "category for x axis" and "category for y axis"
8. Click the [Next] Button

"Chart Location" window will be appeared
9. Click the [Finish] Button

10. The graph had been created on sheet 1

Fill background color of the cells

In this lesson, you are going to learn on how to change the background color of the cells.

1. Select cells A2 to H2
2. Click the [Fill Color] Button

3. Choose color "yellow"

4. As you can see that the background color of cells A2 to H2 had been changed

Repeat the same process to change backgroun color of cells A3 to A7

Right alignment

In this lesson, you are going to learn on how to align the text or data in the cell to the right.

1. Select cell H1 and write "(unit:millions)" on it
2. Click the [Align Right] Button

3. As you can see that the word had been align to the right

Draw border line

In this lesson, you are going to learn on how to draw border lines of the cells.

2. Click borders icon and then choose all borders

3. As you can see that, there are border lines on cells A2 to H7

Adjust row height

In this lesson, you are going to learn on how to adjust the row height of the cells.

2. Point the cursor to the row border and drag it

3. As you can see that the row height of rows 1 to 7 had been changed

1. Select cells B to H

2. Point the cursor to the column border and drag it

3. As you can see that the column width for cells B to H had been changed.

Using autosum function

In this lesson, you are going to learn how to total up the data by row and column using autosum function.

1. Select cell B7 and click autosum icon

3. Cells B3 to B6 will be automatically selected. Press enter key

5. Total value of January will be input to cell B7. Sum formula will be appear at formula bar

7. Select cells C7 to G7 and click autosum icon

9. Total data for every month will be entered

10. Continue the same process to total up the data by location

Enter and format number

In this lesson, you are going to learn how to enter the number and format it into your worksheet.

1. Type "1560" to cell B3 and press Enter key

2. Click Comma Style button, then number 1560 will be 1,560

4. Click format painter button

5. Select cells B3 to G6, then the selected cells number format will be same as cell B3

6. When the number been input to cells B4 to G6, the number will have a comma for every 3 digits.

Auto fill month data

In this lesson, you are going to learn how to auto fill the word and cell style into your worksheet.

1. Type "Jan" to cell B1, click "Bold" button and "Center" button

4. Point the mouse to bottom right of cell B2, click and drag to cell G2.

5. Feb, Mar, Apr, May and Jun had been auto filled together with the cell style (Bold and center)

Entering the word

In this lesson, you are going to learn how to enter the word into your worksheet and format the style of it. First, you place the cursor in the cell in which you would like to enter data. Then you type the word and press Enter. Details are as below

1. Point the cursor to cell A1 and click the cell. Cell A1 will be the active cell

2. Type "Total sales for 1st half 2005" into cell A1. The entered word will be appear at cell A1 and formula bar

3. Click "enter" sign beside the formula bar or press Enter key on the keyboard

4. The word "Total sales for 1st half 2005" entered into cell A1

5. Continue the process for the remain word (tokyo, manila, jakarta..) to respective cells

Bold the word

1. Select cells A1 to A7 and click the bold(B) icon

3. The words in cell A1 to A7 become bold.

Average

Returns the average (arithmetic mean) of the arguments.

Example

From the image below you can see that:- Cell "E1" = Cell "A1" + Cell "B1" + Cell "C1" + Cell "D1" divide by total cells number that is 4 (A1 to D1)

Notes that the formula Average had been write in Cell "E1"

Sum

Adds all the numbers in a range of cells.

Example

From the image below you can see that:- Cell "E1" = Cell "A1" + Cell "B1" + Cell "C1" + Cell "D1"

Notes that the formula Sum had been write in Cell "E1"

How to make a new book

In MS Excel 2003, there are 3 way to make a new book. There are by the support menu at work panel, using the menu at menu bar or using shortcut icon at tools bar. Here we will show you all of it.

Method 1. Use support menu at work panel

1. Click "Create a new workbook" menu at the work panel

2. Click "Blank workbook" menu at the work panel

3. New book named "Book2" will be opened

Method 2. Use "new" menu at the menu bar.

1. Click "File" then "New" at the menu bar

2. Click "Blank workbook" menu at the work panel

3. New book named "Book2" will be opened

Method 3. Use shortcut icon at tools bar.

1. Click "New" icon at the tools bar

2. New book named "Book2" will be opened

Note that method 3 is the shortest method to open the new book in Excel. Also you can use the shortcut key "Ctrl"+"N" to open a new book.

Overall flow of making report

Before we go details on every function of Microsoft Excel, let learn the common operation of excel by making a simple table and graph. Here you will learn on how to create a table, graph. Also you will learn on how to save the book and print out the sheet. And lastly on how to close the saved book and re-open it. By go through all of this operation you will get an idea on overall outline of Microsfot Excel.

Example of the report

1. Make a beatiful table: Input data to the cell, fix the cell style and draw line of the table
2. Make graph: Based on the input data, make a beatiful graph to show to other people.
3. Write few paragraph of report: Based on the table and graph, write some words about your graph and table.
4. Save excel file: Save the excel file when you finished write the report.
5. Print out worksheet: Print out your report.
6. Re-open saved file: Re-open saved file and adjust the data.

There are 2 main elements in excel, that are Sheets and function bar. Sheets are a workspace to input data and make graph. While the function bar such as menu bar, tools bar and etc are used to execute the excel function.

1. Screen Elements

Title Bar: Contains the file name
Menu Bar: Contains all menu to execute function of excel
Tools Bar: Contains an icon for the menu that usually are used frequently
Formula Bar: Contains a data or formula for an active cell
Sheet: A workspace to input data, make graph and etc.
Sheet Title: Use to change the sheet
Work Panel: Contains a few functions to support the works
Scroll Bar: Use to scroll the sheet horizontal or vertical
Status Bar: Contains an information of the function that been execute

2. Sheet Element

Above we show the overall elements of an excel. Here we will show you the sheet elements. Sheet is a workspace where the data or formula will be input

Name Box: Contains cell number or name of an active cell
Formula Bar: Contains a data or formula for an active cell
Column Number: An alphabet to show the column position of the cell
Row Number: A number to show the row position of the cell
Active Cell: Currently use cell (target cell)
Cell: A place to input data or formula
